Webmail for Faculty and Staff/Exchange 2007

Filed under: Administrative Computing, Tech Tips, Technology Help Center — James Durr @ August 26th, 2009

We are in the process of moving faculty and staff accounts to our new Exchange 2007 mail server. Once this process is complete you can expect some changes to the Webmail login screen to accommodate the two different systems that we are using.

What to expect:

Webmail users: webmail will be moved to a new server, and until the entire campus moves to Exchange 2007, we will need to go to a different address. To access webmail go to: https://tyler.cortland.edu/owa/ (There is a link on the webmail screen for Exchange 2007 users)
Mac Users: Entourage will bring up an error when opening. Simply click OK.
Outlook users: Outlook should automatically detect and reconfigure itself to the new server; no action need be taken on your part.

If you encounter problems with your mailbox size please see the instructions in TechInfo:
http://blog.cortland.edu/techinfo/?p=476

There are many new features, most notably:

Outlook Web Access (Webmail): The latest OWA client is a near-perfect clone of the Outlook 2003 desktop interface. Features and views are nearly the same, and performance is excellent.

Smart scheduling: The addition of Scheduling Assistant and Calendar Attendant mean that Exchange tracks not only the schedules of all meeting invitees but also the availability of meeting rooms and can manage all of this on the server, so meetings can be fully scheduled without everyone’s Outlook client being connected.

Improved search: A rewritten search algorithm noticeably boosts the speed at which Outlook can find specific messages in large message stores.

If after the move you experience any issues, please contact the Technology Help Center at x2500.

Thank you.

Jim

*IR Staff Only* Move to Exchange 2007 Has Begun

Filed under: Administrative Computing, IR News and Updates, New Services — Josh Peluso @ May 19th, 2009

As many of you know we have been working to move our email system to a new server version, Exchange 2007.  There are many new features, most notably:

WebReady Document Viewing: A new option in OWA allows Office documents (Word, Excel, PowerPoint, and PDF) to be accessed as e-mail attachments or through public folders to be displayed as HTML, even if Office isn’t installed on the client PC.

Exchange ActiveSync: Improved direct push e-mail ensures ActiveSync clients receive messages on server connect. Other mobile-friendly features include inline message fetch — the ability to download long attachments without reloading the entire message — and information rights management, which allows users with proper authority to view protected messages without being connected to a server.

Outlook Web Access: The latest OWA client is a near-perfect clone of the Outlook 2003 desktop interface.

Large Mailbox size: Quota limits will be increased to 500MB
We are planning on moving all Information Resources mailboxes by May 21, 2009 .  We expect very little interruption in your use of email.

What to expect:

Outlook users:  Outlook should automatically detect and reconfigure itself, to the new server no action need be take on your part.
Webmail users: webmail will be moved to a new server, and until the entore campus moves to Exchange 2007, we will need to go to a different address, to access webmail go to, https://tyler.cortland.edu (make note of this, we will also be placing a link on the current webmail for Exchange 2007 users)
Mac Users:  Entourage will need to be reconfigured to send mail, the exchange server name is mitchel.cortland.edu , the owa server is tyler.cortland.edu
IMAP/POP Users:  The new IMAP and POP is ssl enabled, and the address to retrieve your mail is tyler.cortland.edu
Activesync/iPhone Users:  The active sync server address is tyler.cortland.edu
Blackberry users:  Your blackberry will reconfigure to the new server.

Here is a summary of the server addresses:

Mailbox server: mitchel.cortland.edu
Webmail/OWA server:tyler.cortland.edu
IMAP/POP3: tyler.cortland.edu
Active Sync: tyler.cortland.edu

Josh Peluso is going to start moving mailboxes, on Monday, May 18, 2009 .  If you would like your mailbox moved sooner, let him know .  If you would like Josh to wait to move your mailbox, let him know that as well, and he will try and accommodate it.

RUCKUS

Filed under: Administrative Computing — Daniel Sidebottom @ February 12th, 2009

As of Friday February 6 2009, Ruckus the University-focused music and movie download service, has shut down. Unfortunately the University was not informed of this in advance

During these extraordinary economic times, Ruckus is one of the many businesses being forced to close its doors.

For those of you that took advantage of this service, the Ruckus music currently on your computers today will continue to play until the individual digital-rights-management license expires.  We are very disappointed about the loss of this service and especially by the inconvenience this has caused our students.

For additional information, please see the following article posted in the Chronicle of Higher Education:

http://chronicle.com/wiredcampus/index.php?id=3605

Other legal options for listening or downloading music and movies are:

http://www.apple.com/itunes/overview/ iTunes lets you play and own songs, watch shows, rent and own movies, whatever keeps you entertained

www.pandora.com and www.last.fm are two sites that provide streaming music and both are a free and legal way to listen to music.

www.myspacemusic.com is another free legal music option that has features similar to what Ruckus provided.

www.hulu.com provides streaming video and is a free and legal way to watch some of your favorite TV shows and some movies too.

For additional legal music sites, please check this website:  http://www.musicunited.org/6_legalsites.html

Mailing Lists Attachment Sizes

Mailing List

Size Limit on Attachments

Faculty Mailing List

512KB

Student Mailing List

128KB

Cultural and Intellectual Mailing List

128KB

Cultural and Intellectual For Faculty Mailing List

As an example of file sizes a typical pdf attachment would be between 120 and 350KB in size.

Student Unpaid Interns

Filed under: Academic Computing, Administrative Computing, Policies, Technology Help Center — Daniel Sidebottom @ January 5th, 2009

Student Intern Accounts (non-SUNY Cortland students)

Unpaid Student Interns:

A student intern who is not a current SUNY Cortland student and who is not being placed on SUNY Cortland payroll is considered an unpaid student Intern.

All departments on campus that employ “unpaid Interns” are required to have them report to Human Resources prior to starting their internship here on campus. Human Resources will place all “unpaid Interns” on a volunteer roster identifying them as having a legitimate purpose on campus. They will then be eligible for a C#, ID card and parking permit. The employing department will have the “unpaid Intern” sign a confidentiality form and also instruct them on SUNY Cortland’s FERPA document

Obtaining a C#, ID card, and parking permit:

Student interns report to the Human Resources Office to obtain a “Verification of Eligibility for SUNY ID Card” form.   This signed verification is then taken to University Police where a C# will be issued.  Once the C# is issued, a parking permit can be obtained (student interns are treated like graduate assistants for parking purposes and will receive “G” permits).   The C# also permits the student intern to obtain a SUNY ID card through Auxiliary Services Corporation.

Who can create an Intern Account?

Intern accounts can be created by calling the Technology Help Center. A valid Cortland C# is required. Prior arrangements should be made. Last minute requests will not be guaranteed.

Intern Account:

The sponsoring department of the Intern must provide specific information before a temporary Intern Account is created. The account can only be created by contacting the Technology Help Center. No account will be created without the required information from appropriate sponsor.

Information required:

  • Sponsoring Departments Name:

  • Intern’s Full Name:

  • Intern’s University/College of record:

  • Length of Internship:   Start Date:                      End Date:

  • I _________________verify that ________________ will be an Intern here working during the dates listed above. I also understand that this Intern Account is governed by the Guest Account Policies and the College’s Computer and Network Use Policies.

Department Heads Signature: ___________________________

Windows Computer Labs SPSS Upgrades

Filed under: Administrative Computing, IR News and Updates, New Services — Josh Peluso @ October 24th, 2008

Several years ago an SPSS committee was formed to discuss SPSS installations and upgrades across campus. In order to meet the needs of faculty and students who use SPSS in labs and classrooms and to keep the costs associated with SPSS to a minimum, the committee decided the Windows version of SPSS should be moved to a network license. The committee also determined that the latest version of SPSS would be installed in labs and classrooms during the summer upgrade cycle.

This past summer, all the Windows computer labs and classrooms were upgraded to SPSS 16.0. As a result, individuals will no longer be able to use SPSS 14.0 and 15.0 after December 22, 2008. If you are using version 14 or 15 on a Macintosh computer this change will not affect you. If you are a faculty member and are using these versions, your system may be upgraded to SPSS 16 at no charge. You may request this by filling the software request form located at: http://www.cortland.edu/acs/forms.asp.

Lastly, SPSS 17.0 will be out this fall, but Windows computer labs and classrooms will not be upgraded until Summer 2009. If you would like to receive a copy of SPSS 17.0 prior to next fall, you may request a copy after we have installed the latest version on the server sometime over winter break by filling out a Software Request form that is located at the above link.
